We are looking for a talented executive assistant to help our rapidly growing start-up scale. In particular, we are looking for you to provide coordination and logistical support for our Senior Vice President Sales, North America and Chief Marketing Officer. Additionally, your role will focus on planning activities and events that drive culture and connectivity across the executive's team and the entire company.


Responsibilities

  • Provide administrative support for the Senior Vice President Sales, North America and Chief Marketing Officer both located within our Boston HQ
  • Manage multiple calendars, plan, schedule, and coordinate travel, onsite/offsite meetings
  • Coordinate logistics for senior executive visitors
  • Handle highly confidential information in a discreet and disciplined manner
  • Help foster transparency with the executive team when it comes to driving initiatives
  • Expenses: tracks and submits business expenses on behalf of leaders to ensure timely reimbursement
  • Meeting Planning and Support: Spearhead collection of specifications / agenda for meetings; identify resource requirements, coordinate service provisions and run the event to ensure that the sessions (onsite or off-site) are executed at the highest quality level; take notes and conduct follow ups on action items as required
  • Presentation support: ability to support creation of PowerPoint presentations

Requirements

  • Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint) and Slack
  • Superior organizational skills, with strong attention to detail
  • Demonstrated ability to anticipate and address needs and situations proactively
  • Superior time management skills and proven track record of handling multiple tasks and competing and shifting priorities
  • Ability to work in a collaborative environment and bring enthusiasm and energy to every task
  • Very strong interpersonal skills and the ability to build relationships with stakeholders across all levels
  • Excellent verbal and written communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion
  • Ability to meet deadlines in a fast-paced environment
